1. Account inactivity span
- This setting controls how many months of inactivity must pass before a user account becomes locked.
- Click once on the configuration option to determine the number of months in the value field provided.
- Scroll to the bottom of the screen and click OK to save the settings and receive the following message.
- Click OK once more to return the main menu.
2. Sender e-mail address
- This setting controls the sender/reply-to email address that will be displayed within the following system-generated Notification emails.

- The user receives an email with a unique PIN code to log in.

Request Password Reset
- The user receives an email if they have requested to change their Password.
- Click once on the configuration option to determine the email origin using the free-text field provided.
- Scroll to the bottom of the screen and click OK to save the settings and receive the following message.
- Click OK once more to return the main menu.
3. Minimum Password Length
- This setting controls the minimum number of characters that must be adopted in each users Password when logging into Pentana.
- Click once on the configuration option to enter the numerical value required.
- Scroll to the bottom of the screen and click OK to save the settings and receive the following message.
- Click OK once more to return the main menu.
4. Password Expiry
- This setting controls how many days or months each users Password will remain active before it must be changed.
- Click once on the configuration option to reach the following options.
- Using the drop-down list provided, determine if the setting will be based on a specific number of Days or Months, then enter the numerical value as required.
- To disable this feature entirely, ensure the value is set to zero.
- Scroll to the bottom of the screen and click OK to save the settings and receive the following message.
- Click OK once more to return the main menu.
5. Unavailable Password History
- This setting controls the total number of unique Password changes that must be completed before a user can re-use a previous Password.
- Click once on the configuration option and enter the numerical value required.
- Scroll to the bottom of the screen and click OK to save the settings and receive the following message.
- Click OK once more to return the main menu.
6. Password Strength
- This setting controls the character complexity required for each users Password. The higher the value set, the more elements a password must include to be valid (For example, upper/lower case letters, special characters and numbers).
- Click once on the configuration option to reach the following screen.
- To decide upon the percentage value to be entered here, start with a value of zero.
- Add 2 if the Password length should be over zero characters
- Add a further 2 if the Password length should be over 6 characters
- Add a further 3 if the Password length should be over 9 characters
- Add a further 4 if the Password length should be over 13 characters
- Add a further 2 if the Password length should be over 18 characters
- Add a further 1 for each numeric character that should be used (up to a max. of 3)
- Add a further 1 for each non-alphanumeric character that should be used (up to a max. of 3)
- Add a further 3 if mixed-case (i.e. upper and lower case) characters should be used
- When the required value is determined, divide the total by 22 and multiply by 100 to produce the percentage value that the system will accept.
- As indicated above, the % symbol is not required to be entered. Please also note that the maximum value that can be entered is 100 (i.e. 100%).
- To disable this feature entirely, ensure the value is set to zero.
- Scroll to the bottom of the screen and click OK to save the settings and receive the following message.
7. Format to Display Full Name
- This setting controls the format that is adopted across the system when displaying a user’s name. This impacts all user lists in the system including information that is extracted in system-generated reports.
- Various combinations of First Name and Surname are available, but if relevant there is also the option to include the User Profile Reference field identified below.
- Click once on the configuration option and use the drop-down list to select the desired display format.
- Scroll to the bottom of the screen and click OK to save the settings and receive the following message.
- Click OK once more to return the main menu.
8. Dual factor authentication
- This setting controls which user types, if any, will need to enter a PIN code in addition to their User name and Password when logging in to Internal Audit.
- Click once on the configuration option to reach the following screen.
- Tick the box next to all relevant user types that should adopt Dual Factor authentication, as shown above. In doing do, additional options are presented.
- PIN length determines the number of digits in the PIN code. The minimum value is 6 and can be extended in increments of 3 to a maximum of 30.
- PIN timeout determines how long the PIN code will be active for. This can be set based on days, hours or minutes, from a minimum of 10 minutes to a maximum of 90 days.
- Please note, PIN timeout decides how long the user can work in Pentana with the PIN code. After the designated time, each user will be issued a new PIN code which must be entered to continue working.
- Scroll to the bottom of the screen and click OK to save the settings and return to the main menu.
- Please note that when dual factor authentication is enabled for Business Users, this will take effect the next time the user logs in to Pentana.
- The PIN code itself will be sent to the registered email address of each user, which the system will request to be entered via a pop-up window.
