Checking the Status of a Work Programme

1. Checking the Status of a Work Programme
- Once the Work Programme Template is complete select Save and then Close. The Work Programme Template will then be shown in the local store view
- Before a Work Programme Template can be used on an Audit it has to have an Active status
- There are by default 6 statuses in relation to a Work Programme Template. These can be edited by the end user by following the methodologies
- In Progress
- Under Review
- In Progress – With Review
- Under Re-Review
- Approved
- Active
- When a template is first created it is automatically given a status of In Progress’ it will retain that status until it is moved from the user’s local store and submitted
- In order to submit the Work Programme Template for review it must be moved to the shared server
- Select the template once to open up the Work Programme Template Actions menu and select Submit to Reviewer
- Select Confirm Send to Reviewer
- Where the user is still working on the development of the Work Programme Template they would choose the option to Secure Backup. This option will back up the template to the shared server in its current state. For example the status In Progress will not change
- When submitted to the server, the Work Programme Template will disappear from the user’s local store
- Selecting the Show all templates icon will display a list of all templates
- On the toolbar there is a Legend icon. Selecting this icon allows the user to see what each icon refers to and therefore to understand the status of a template
- There are a number of icons and these are all described within the screenshot above. Select Close to hide the Legend view
- The layout of this status screen allows the user to see the following information

Name
- The name of the Work Programme Template

Status
- The current status of the Work Programme Template
-
Version
- The current version of the template (note this increase by one each time uploaded to the server)

Scoring Methodology
- The type of template . For Example, Standard Layout with Test Scores

Assessment Methodology
- Where Inherent Risk is used as an example

Use Processes
- Where the Process Universe is being used
-
Locked by User
- Where a user has the template downloaded and is locked for editing

Unique Reference
- This is automatically generated by Internal Audit
- In order to sort this information the user can right click anywhere in this screen to either

Group List Items
- For Example, sort by status

Choose Visible Columns
- For Example, hide/unhide certain columns
- Export List to Excel
- Please note the column order can also be changed by dragging and dropping the relevant columns
- The user can also choose the icon Show all template versions and this will include on the status screen all Retired Work Programme Templates
- Please note the retired templates are all locked however these can be restored if required using the option Manage Templates
- There filter option allows the user to enter a template name, where known and an Entity Link to filter by the Audit Universe
- By highlighting the relevant section, the user can then select the Expand selected node icon to view all connected levels
