In the following article, we delve into the latest developments in recommendation and questionnaire tracking introduced in version 12.0. These enhancements offer improved functionality and efficiency, empowering users to manage recommendations and track questionnaire progress more effectively than before.
1. Recommendation tracking
1.1 Searching
- It is now possible to search for Recommendations by the rich-text fields, including the description. When managing the filter layout, select Add standard field followed by Text field filters.
These fields are also available to add to the list of results as a visible column, via right-click Adjust column layout and grouping. - Metadata fields are now available as visible columns.
- A filter to search for recommendations by the Audit Type has also been made available together with the corresponding visible column.
- When allocating users to a recommendation, improvements have been made to recognise successive keystrokes to locate the user by name. For example, typing “c-h-a” will locate and pre-select users whose name begins with, or matches, those characters. Please note that it is not case-sensitive.
1.2 Assigned users
- When assigning users to a Recommendation through any of the user-lists that are available, users will see a new category that shows Business users assigned to this Audit.
Note: The origin of the Recommendation must be at the Audit level or lower, and Business Users must already be selected within the Auditees section of Auditors & Budgets.
1.3 Statuses
- During the life cycle of a Recommendation, the list of Statuses that are available for use by different users is now even easier to manage.
- Within Tools, Configuration, Recommendation Status a new User type visibility menu governs whether each specific status should be visible to Audit Users, Risk Users or Business Users.
Note: More detailed rules are still maintained at the User, Role and Team level when considering assignment rights and edit rights independently.
1.4 Lock management
- Significant system-wide improvements to the lock management functionality has encompassed that of the Business User portal, where the system is now capable of identifying that a Recommendation is already open and being edited by either the Auditors in the client application or by Business Users online. This means that the same Recommendation cannot be edited simultaneously in each location.
1.5 Audit trail
- The Recommendation Audit Trail has been redesigned to reflect all other search results in the system. The information is recorded in a flat list of results, where the ability to Adjust column layout and grouping is available, together with Export list to Excel.
- Changes to metadata are now also reflected in the Recommendation Audit Trail.
2. Questionnaire tracking
2.1 Linked audits
- When a questionnaire has been linked to an audit, as well as confirming the Audit Entity, Period, Name, Reference and Status, users have the facility to view the audit auditors, which will display a read-only window confirming the persons associated to the Audit file.
3. Other areas
3.1 Event log
- Improving overall search capabilities for this unique system component, an additional field to search by Entity ID has been added to the Filters. This development has been completed to assist where all events are required for analysis, relating to a known entity item. The unique reference is entered into the Entity ID field, followed by Search Logs.
