Creating Business Users

This article outlines an overview of Creating Business Users within Users, Roles and Permissions.
1. Creating Business Users
- New Business Users are added to the system through the Users section and via three options depending on the authentication methods installed.
- Import from Active Directory or New from Active Directory allow the creation of Pentana users that already exist in your company directory and that have a pre-defined username and password.
- New allows the creation of standard Pentana user accounts that are not linked to any other user profile outside the system.
- Hosted clients will see an option to Provision OAuth user accounts in place of the Active Directory options. Oauth is a new form of Directory authentication which was introduced in Internal Audit MK Version 11.2.
- To create a new individual Business User account from your existing directory, begin by selecting New from Active Directory.
- To create a new individual Business User account manually with a standalone username and password, begin by selecting New.
- In either case, from the following menus that appear, under Select User Type begin by deciding which components of the online portal this user will have access to.
- The options in the Basic Details & Authentication section will then be different depending on the method of authentication selected earlier.
- If New from Active Directory was chosen, follow the blue hyperlink to Select Active Directory Account and a new menu will be displayed to Search and select the user account required.
- Alternatively, if New was chosen to create a standard account, the Username, Password and Confirm Password fields must all be completed manually.
- Please note that all mandatory items are noted with a red asterisk * and must be completed to create the new user account.
- Scroll down to access additional Language & Profile Details or Language settings that can be defined as needed.
- If the user selected should be granted elevated permissions within the Business User portal (i.e. in addition to automated permissions that allow them to access Recommendations or Actions that they are assigned to) continue to the Permissions section at the top of the screen and make the necessary selections using the tick-boxes provided.
- Please note that while Roles are also available to define when creating a new Business User account.
- Once all areas of Details and Permissions are complete, select Add from the bottom of the screen.
- The new Business User account will now be displayed in the Users list, ready to be used.
- The option to Import from Active Directory allows the creation of multiple Active Directory user accounts at once. Because the mandatory fields are pre-defined based on information from the directory, this function is a key time-saving measure when creating Internal Audit Business Users.
- Select Import from Active Directory to be taken directly to the search and import functions, where the system supports the selection of multiple accounts using the checkboxes provided.
- Additional Language & Profile Details, Language settings, Permissions or Roles can be defined on an individual basis following the import process.
- For Hosted clients that have Single Sign on enabled and configured, there will be an additional option to Provision OAuth user accounts.
- Select Provision OAuth user accounts to be taken to the user emails list.
- Enter the email addresses of any OAuth user account that have been configured in the directory. As per the message above, the email addresses must be unique across all OAuth type accounts.
- Once all email addresses have been entered, click OK.
- If any of the email addresses are not unique, users will see the following message.
- New user accounts will appear in the list as shown below.
