Archiving and Reactivating

This article outlines an overview of Archiving and Reactivating within Users, Roles and Permissions. While Business Users cannot be deleted from Pentana once the account has been created, they can be Archived to release an available license for use and prevent new Recommendations or Actions being assigned to them.
1. Archiving and Reactivating
- To Archive a Business User, begin by selecting the profile icon next to their name
- Locate and select Archive from the options provided at the bottom of the screen
- A banner will confirm the Item Successfully Updated. Select Close to return to the user list.
- The Archived user will now no longer be able to access Pentana. However, any previous work allocated or completed by them will be saved in the system and preserved in the Audit Trail.
- By default, Archived Business Users will not be visible in the main user list, unless Show Archived Users is selected from the filters.
- Please note that all Archived user types will be displayed in the list provided, including Audit and Risk Users, which is visible in the Type column as indicated below.
- To Reactivate an Archived Business User, the same steps can be followed from within the Archived user list via the Reactivate option that the system provides for each Archived user.
- Select Close and the user account will be immediately returned to the main Business User list.
